Our Managing Director had worked in a Senior Management team in both Tokyo and Osaka for about 6 months in the past. He understands the culture of Japan very well. He believes to combine the culture of Japan & Australia will yield the best outcome for the business. The employee can also benefit from the open & fun culture in our company.
Our group of companies is looking for an Administrative Assistant to take care the tasks for our growing businesses. Our business area includes Real Estate, Data Analysis, IT and Financial Markets trading & Investment. Excellent office culture and environment. The role will involve tasks of an Office Manager and Personal Assistant role.
In this role you will be required to assist the Managing Director to take care of any ad hoc tasks, in order for him to be able to focus 100% on the business. We expect for you to eager to learn and attention to details. In return, you will be experience to learn and grow from multiple aspects of this world. You will be surrounded by high achiever in the office as we are very selective on the people who works for us.
Duties & responsibilities
·Assist the Managing Director running the business
·Book Keeping, experience in using Xero or similar software
·General office & administration tasks
·Managing diaries and organise meeting & appointment for the Managing Director
· Handling email& phone calls on behalf of the Managing Director
· Taking notes and writing minutes during meetings.
·Act as Office Manager to take care e.g. Kitchen supplies, equipment maintenance and office ad hoc tasks
·Typing, compiling and preparing reports, presentations and correspondence (Preparing communications on behalf of a manager)
· Organising events and conferences.
· Organising travel and itineraries
·Handling all HR related enquires on behalf of the Managing Director
· Liaising with staff, suppliers and clients
· Conducting or preparing any research that the reporting manager may require
· Organizing &handle the Managing Director’s personal commitments including travel & ad hoc tasks with the aim to free up the MD’s time to focus on the business.
· Maintain high level of discretion & confidentiality
· Reminding the manager/executive of important tasks and deadlines.
· Implementing and maintaining procedures/administrative systems
·Various ad hoc requests
